Why smart teams build broken processes
It is one of the most reliable paradoxes in modern organizations: the same analytical minds that ship software transforming their customers' lives cannot fix the process they built for themselves. These are not careless people. They are precise, rigorous, and demonstrably capable of solving hard problems. And yet their own workflow is a tangle of handoffs that drop, meetings that decide nothing, and recurring fires everyone has learned to live with. The reason is structural, not personal.
The skill that builds the product cannot fix the org
Analytical thinking — decompose, optimize each part, reassemble — is exactly the right tool for building a product. A product is something you design; its parts do what you specify. An organization is not like that. It is a living system of people, incentives, and feedback loops that interact in ways no one fully specified. Applying the product-building mindset to the organization means optimizing each part in isolation, which is precisely the move that degrades the whole.
So the very competence that makes these teams excellent engineers works against them when the object is their own organization. They look for the broken component, the bug to fix, the part to optimize — and the problem stubbornly refuses to live in any single part, because it lives in the interactions between parts that analytical thinking is trained to factor out.
The problem is not that smart teams think badly. It is that they apply the right kind of thinking to the wrong kind of system.
The way out is not to think harder in the same mode; it is to switch modes. Seeing the organization as a system — tracing its loops, its dependencies, its delays — reveals that the broken process was never a broken part at all. It was a structure faithfully producing the outcome it was arranged to produce, and it will keep doing so until the structure, not the effort, changes.
